Updating Progress and Activity Status


Introduction

Once an activity has been configured, progress can be updated as work is completed in the field. 

Each update contributes to the activity's progress history, allowing the project team to see how far the activity has progressed toward completion, when that progress occurred, and how the current production pace compares with the planned schedule. 

For activities connected to design objects, teams can also maintain execution information such as actual start and end dates and approval status.

Before You Begin

Before entering progress, confirm that: 
  1. The activity is included under Tracked Activities. 
  2. The appropriate measurement type has been configured. 
  3. For quantity-based tracking, the Actual Required Quantity is available. 
  4. Any design objects used for object-level tracking are connected to the correct activity. 
  5. You have the current field information or supporting evidence needed for the update. 
Helpful Note: Actual progress should represent measurable or verified physical completion. Activity weight is separate and determines how much that activity contributes to the overall progress calculation. 

Update Activity Progress

Open the Activity

From Tracked Activities, select the activity you want to update. 

The Activity Card displays the activity details along with its current progress information. 

To add progress: 
  1. Locate Progress on the Activity Card.
  2. Select the + icon. 
  3. Choose the appropriate progress-entry method.

For a manually reported progress value, select Manual value.

Enter a Manual Progress Value

The Manual Value window allows you to record the latest amount of completed work. 


Enter or review the applicable information: 
  1. Planned measurement
  2. Value
  3. Measurement unit, when applicable
  4. Update date
  5. Actual start, when applicable
  6. Supporting files, when available
The Update date automatically uses the date the value is entered. If you are recording progress that occurred previously, you can change the date to accurately represent when the work was completed or verified. 

Select Save when the information is complete.

Helpful Note: Using the correct update date is important when entering historical or delayed information because DatuBIM uses the dated updates to build the activity's progress history. 

Review the Progress History

As progress values are added, the Progress Table maintains the activity's recorded progress history. 


The table provides a chronological record of the activity's updates, making it easier to understand when progress was recorded and how completion has developed over time. 

Review the Progress Graph and Forecast

The Progress Graph provides a visual representation of the activity's progress over time. 

As additional progress values are entered, DatuBIM uses the recorded production pace to calculate forecast information. The graph can help the team understand: 
  1. How actual progress is developing over time. 
  2. The Forecast Finish Date based on the most recent production rate. 
  3. The deviation between the Forecast Finish Date and Planned Finish Date.
  4. The production rate required to close the gap between the forecast and planned finish dates.
Helpful Note: The forecast is dynamic. As new progress values are entered and the recent production pace changes, the forecast can change as well. 

Right-click the Progress Graph to copy it and paste it into a project report of presentation.

Update Dates and Approval for Linked Design Objects

When a design object is connected to an activity, its Progress information provides additional execution details for that specific object. 

Select the individual design object and open its Progress tab. 

Depending on the workflow, review or update: 
  1. Actual Start
  2. Actual End
  3. Approved status
The planned start and end dates shown for an object linked to a Gantt activity come from the associated schedule activity, while the actual execution information can be maintained as work progresses. 

The Actual Start and Actual End dates maintained for linked objects are used to automatically update the associated activity dates and forecast information.

This helps connect the schedule-level activity with the status of the individual elements being constructed.

Add Supporting Evidence When Available

Progress updates can also include supporting documentation when applicable. 

Examples may include: 
  1. Photos
  2. Videos
  3. Documents or PDFs
  4. Other files supporting the reported work
Keeping evidence with the applicable activity creates a more complete historical record of how progress was reported and verified. 

Keep Progress Information Current

Progress Tracking becomes more useful when updates are entered consistently rather than only at major milestones. 

As work progresses: 
  1. Add new progress values using the date the work occurred or was verified. 
  2. Review actual start and end information.
  3. Update object approval status where applicable. 
  4. Attach supporting evidence when it adds value. 
  5. Review the Progress Table and Progress Graph for changes in production pace, forecast completion, and the rate needed to remain aligned with the planned finish date.
Consistent updates ensure the activity record and later dashboard calculations reflect the most current available project information.
