Introduction
The Enterprise Management feature in DatuBIM enables organizations to organize sites into structured groups and sub-groups, and efficiently manage user access across multiple projects.
By assigning users at the group level, teams can automatically apply access to all relevant sites, reducing manual setup and ensuring consistency across large project environments.
When to Use This Feature
Use group-based management when you need to:
- Organize projects by region, business unit, or project type
- Assign users across multiple sites at once
- Maintain consistent access and permissions across teams
- Scale site and user management as your project portfolio grows
Key Concepts
- Group: A container used to organize sites ( e.g. by company, region, or project type)
- Sub-Group: A group within another group, used to create a hierarchy
- User Inheritance: Users assigned at a group level are automatically assigned to all sites and sub-groups beneath it
- Account-level permissions: Define what a user can do in the platform (View only, Basic, Analytics, Admin)
- Group-Based Access: Defines which sites a user can access
How to Set Up Groups and Assign Users
Step 1: Create a Group
- Click +New in the top-left corner
- Select Group
- Enter a Group Name
- (Optional): Select a Parent Group
- If no parent is selected, the group is created at the root level
Step 2: Assign Users to the Group
- Click + Associate User
- Select users from the list
- Set each user's permission level
- (Optional): Remove users using the trash icon
You can also create a new user by selecting Create & Associate New User.
Helpful Note: Site and group-specific permissions allow an administrator to set a Site or Group administrator. The Site or Group administrator will have administrative permissions for the specific site and group, while their account-level permissions can remain different.
Step 3: Create a New User (Optional)
If the user does not already exist:
- Click Create & Associate New User
- Enter required details (name, email)
- Define user role and permissions
- Configure notifications (optional)
Step 4: Create Sub-Groups (Optional)
- Repeat the group creation process within an existing group
- This allows you to build a structured hierarchy (e.g., Region - Project Type)
Step 5: Create a Site Within a Group
- Navigate to the desired group
- Click +New, then click Site
- Create the site
All users assigned to that group - and any parent groups - will automatically be assigned to the new site.
User Inheritance
DatuBIM now uses two layers to manage users:
1. Account-level permissions (What users can do)
Defined when creating a user:
- User Type (Account or Operator)
- Permission level (View Only, Basic, Analytics, Administrator)
These determine what actions a user can perform in the platform.
2. Group-Based Access (Where users have access, and what type of access per group or project).
Groups control which sites users can access, and user permissions can be adjuster per site or per group, outside of the account-level permissions.
- Users assigned to a group are automatically assigned to:
- All sites within that group
- All sites within its sub-groups
- When a new site is created:
- Users from that group and its parent groups are automatically applied
Example
An organizational structure could look like the following:
- Company
- Region (e.g., Southwest)
- Project Type (e.g., Roads, Rail)
- Site
Important Notes
- Groups manage access to sites, not global DatuBIM permissions
- Group inheritance applies only within that group hierarchy
- Users can still be assigned directly to specific sites if needed
Site Search
Additionally, this update also improved the experience of searching for a specific site. To quickly locate a site:
- Use the search bar at the top of the Sites panel
- Type part or all of the site name
- Select from the filtered results
Hide Sites and Groups
Click the eyeball on the right of the group or site to hide them from your Site List and from the Site Map. Click the eyeball again to reveal them.

- Assign users at the highest relevant group level to minimize manual setup
- Use a consistent structure, such as:
- Company - Region - Project Type - Site
- Standardize permission levels across groups
- Use sub-groups to reflect real operational structure
